I have a public contact folder on an Exchange 5.5 server and run Outlook 2002 and 2000 clients. We want to use the ACTIVITIES tab within the contact record to view each others activites (phone calls, emails sent, etc) for each contact and have spent many hours trying to make this happen with no avail. I can get the user's name to show as a 'drop down' within the SHOW box, however, can not see each others activities. I think it has something to do with assigning the rights correctly, but have no clue how to do this. Any help would be greatly appreciated.

  • Mistake made - We are using Exchange 2000, not 5.5

  • Dear hpstroll-ga, Unfortunately, a solution to your specific problem does not appear to be directly documented anywhere I've searched so far. However, some possible solutions are suggested by the following article: "This behavior occurs because the items in the Activities tab are links to related items in the Outlook folders in the originators personal folders (.pst) file. When you share the Contact folder by using Net Folders, the links to the other folders are broken and are not visible." - Microsoft Knowledge Base Article 288628 http://support.microsoft.com/default.aspx?scid=kb;en-us;288628 This suggests that, as you suggest, the problem in question is a matter of mailbox rights - if the viewing user's client can't access the relevant other users' mailbox folders, then nothing will be visible. The solution to this is to have each user enable other users to access the folders in their mailbox within which the activities exist. This is done by right-clicking the relevant folder in Outlook, and going to the "Permissions" tab. If desired, access can be limited to specific people by using the "Add" button to add individual users or mail-enabled groups of users to the list of accessors, or permissions can be set for all Exchange users by editing the "Default" entry. If all that is required is viewing activities, and not editing them, assigning the "Reviewer" from the "Permission Level" drop-down should do this satisfactorily. (Please note that if you assign permissions in this way, users will be able to access other users' folders directly, with the assigned permissions, using "File", "Open", "Other User's Folder..." in Outlook.) If this answer isn't exactly what you're looking for, or doesn't produce the desired result, please feel free to request a clarification. cerebrate-ga

  • Thanks for your continued interest. I would very much like to pursue this. What do you need?

  • Thanks for trying to answer the question. Your mind went down the same path that mind did. I already had openned the permissions wide so everyone had access (OWNER) to everyone elses mailboxes - still no go. This is a frustrating one, because I was able to do this at my old job, but I forgot. Opening up the mailboxes WAS a key element, however, but there is still something missing. Thanks, again for the attempt to answer. It's a shame that Google does not allow us to exchange emails. I could grant you permission to view my desktop from yours and we could try to figure it out.

  • Thanks for your kind words, but we needn't let it go just yet - I have an Exchange server here I can use to test out scenarios, so I can knock together a test configuration and see if I can find the missing piece for you. If you'd like me to pursue this, please let me know by requesting a "clarification". Thanks, cerebrate-ga
